Getting the most from a spreadsheet work order log
A spreadsheet can carry a small crew a long way. The trick is consistency: one row per job, the same status words every time, and dates in a single format. Then filters and sorting do the rest.
Add a data-validation drop-down for the Status and Priority columns so nobody types "Done" in one row and "Complete" in another.
Suggested status words
Open, In progress, Waiting on parts, Completed. Keep it short, and filter on those exact words.
Highlight overdue jobs
Use conditional formatting to colour any row where Due is before today and Status isn't Completed.
When the spreadsheet becomes the bottleneck
If you're scrolling to find jobs, or two people overwrite each other's edits, move to the work order app. It does the status colouring, overdue flags and search for you.
Tired of re-typing the same details?
Keep these jobs in the free work order app instead. Assign a technician, set a due date and see what's overdue, without printing anything.
Template questions
Is this an actual .xlsx file?
It's a CSV, which Excel, Numbers and Google Sheets all open directly. A CSV has no formatting, formulas or drop-downs, which keeps it light and compatible.
What columns does it include?
Number, date, description, customer, address, trade, status, priority, assigned to, due date, completed date, parts cost, labor hours, labor rate and notes.
How do I calculate totals?
Add a Total column in your spreadsheet: =parts cost + (labor hours × labor rate). Then sum the column for a monthly figure.
Can I import the file into the app?
Not yet. CSV import isn't built; today the app exports CSV but doesn't import it.
