How to fill in a work order so the next person can use it
A work order is a short written instruction: who the job is for, where it is, what needs doing and who's doing it. The best ones fit on a single page and survive being read by someone who wasn't on the phone call.
Use the sample below as a starting point, then delete anything your jobs never need. A template that asks for ten things you never fill in becomes a template people stop using.
Describe the problem, not the guess
Write what the customer sees ("no hot water since Tuesday"), not what you think is broken. The technician will find the cause; your job is to give them the symptom and the access details.
Number every order
A simple running number, WO-1001, WO-1002, saves arguments later. It also lets a customer quote a job back to you in one line.
Get the sign-off on the page
A customer signature at the bottom turns a vague "we agreed" into a record. Keep the signed copy with your invoice.
When paper stops being enough
If you're typing the same details twice or hunting for last month's forms, move the list into the work order app. It's free for two technicians.
Tired of re-typing the same details?
Keep these jobs in the free work order app instead. Assign a technician, set a due date and see what's overdue, without printing anything.
Template questions
What is a work order template?
A reusable form for writing down a job: customer, location, description, technician, materials, labor and sign-off. You fill it in per job instead of starting from scratch.
Is this work order template free?
Yes. Print it, save it as a PDF from your browser's print dialog, or download the CSV. No sign-up or watermark.
What should a work order include?
At minimum a number, date, customer, address, a description of the work, who it's assigned to, a due or scheduled date and a completion sign-off.
Can I use it in Word or Excel?
Download the CSV and open it in Excel or Google Sheets for a spreadsheet log. For a Word-style form, print to PDF and fill it digitally.
Skip the paper next time
The same fields, in an app that tracks status, due dates and who has what.
